How we meet our patient is actually quite a process. We invite them for a comprehensive exam. So the first part of the exam is the taking all the data, multiple pictures, x-rays, pH of saliva, blood pressure. And I studied, I studied the CBC T3 dimensional x-ray. I studied the picture. I think what would be the best plan and sometimes it’s several plans. And it’s not just the plan, but it’s also how I can help to not just achieve the health, but keep that health for a long time. If you have stress-free experience, your body heals better. So we use all possible means like sedation dentistry, like relaxing music, TV, headphones, warm pillows. They get the treatment, but they don’t feel the stress of it.

Comprehensive Examination for New Patients at Virginia Biological Dentistry
In response to a growing demand from patients and to offer the best dental care possible, Dr. Hart conducts a comprehensive oral health examination required for any new visitor to become an established patient at our office. The comprehensive examination consists of three distinct phases: a) data gathering to establish a baseline of the patient’s oral health; b) in-depth analysis of the collected data by Dr. Hart; c) meeting with Dr. Hart to discuss a diagnosis and most appropriate and effective comprehensive treatment plan to address any and all oral health issues that the patient has. The comprehensive examination requires two visits at our office. New Patient’s Dental Records
New patients can have their dental records (PAs, CBCT scans, X-Rays, bitewings, etc.) emailed to us at email@example.com
no later than one business day before their first visit to Virginia Biological Dentistry.
Regardless of the available past records, we follow Dr. Hart’s diagnostic protocol and will do our own diagnostics, using our office’s state-of-the-art technologies at your first appointment with us.
New Patient’s Diagnostics at Virginia Biological Dentistry
When applicable, all new patients will undergo diagnostics during the first appointment and prior to having Dr. Hart consult with them. These diagnostics can include:
- 3D CBCT (Conebeam 3D Scan of jaws and teeth) ultralow dose radiation
- Photography of the Face & Teeth
- Intraoral HD Photos (lingual surfaces of teeth, oral mucosa, tissue ties)
- Digital Bitewings or Peri-Apical Radiographic Images and Panorax low dose exposure
- Physical Head & Neck Exam: Cranial Bones, TMJ, Neck Lymphatics, Tonsils
- Kinesiology Testing
Patients who will refuse requested diagnostics during their first visit to our office will not be able to meet with the doctor. We want to ensure that Dr. Hart has correct, comprehensive, up-to-date and clinically optimal information about each patient she meets to offer her best counsel possible. It is in the best interest of future Virginia Biological Dentistry patients to follow our request regarding our in-house diagnostics.
New Patients’ First Visit to Virginia Biological Dentistry
At Virginia Biological Dentistry, we want to ensure that you have a comfortable, pleasant and positive experience as possible. We know how stressful dental procedures can be and will do our utmost to accommodate your needs and expectations.
At the same time, new patients must also come in with a positive attitude, an open mind, and readiness to change and improve not only their oral hygiene but their lifestyle.
We are proud to be the only biological dentistry in the Glen Allen, VA area. We strongly believe that our commitment to looking at oral health from the whole-body perspective is imperative to long-term improvement in patients’ overall health. However, for that to happen, we expect from our patients’ endurance and perseverance in rigorously following recommended dental treatments and possible changes in a patient’s diet, physical routine or/and work environment that Dr. Hart requests. Only then, will a simple dental-help seeker become a truly biologicalally-minded health doer and implementer!

- Fill out and sign online consent forms available in your patient portal
- Arrive 10 minutes prior to the start of your appointment
- Bring your good and positive energy and keep in mind that Dr. Hart is here to offer you a comprehensive diagnosis, treat you most effectively and help you feel great about your oral and overall health.
Full Payment At the Time of Service
Virginia Biological Dentistry is an out of network provider and we want to ensure that our office time is entirely devoted to addressing patients’ oral concerns and providing best dental care as part of our biological practice.
In order to reduce the admin time spent on collecting insurance payments and patients’ outstanding payments our office has the full-payment policy at the time of service. This policy requires all new patients to pay in full for a dental procedure when the service is provided. The full-payment policy covers all treatment procedures except hygiene appointments. Upon their first meeting, all new patients undergo a comprehensive examination followed by an exhaustive consultation with Dr. Hart. This allows us to develop a detailed treatment plan for a new patient that includes a detailed breakdown of costs for each procedure and anticipated total costs. This means that prior to having the procedure scheduled and performed our patients have a very good understanding of the payment amount they are expected to make at the time of service.
Our policy to pay fully for dental services at the time they are delivered is, in fact, no different than the payment policies that all of us are subject to and familiar with when we seek legal representation or advice, have our cars fixed or our haircut done.
Insurance and Financing Options
Even when we take the full payment, we are committed to helping our patients file claims to their insurance as part of the out-of-network benefits and before patients leave our office. Oftentimes, the insurance companies send their reimbursement checks directly to patients. However, in case our office receives an insurance payment we reimburse a patient by mailing the check for the amount the insurance paid us.
We noticed that patients oftentimes think of a dental insurance as a medical insurance with no coverage limit. In fact, all dental insurances have yearly coverage limits that usually fall between $1000 to $ 2000 and this is regardless of whether patients use dentists in or out-of-network. This coverage limit is quickly exhausted during a year when patients need major dental work done such as crowns, bridges, implants or dental appliances, the costs of which go into thousands of dollars. In this case, patients’ choice of our out-of-network practice comes down to a high quality of services that we offer and the demand for Dr. Hart’s unique specialization and skills in biological dentistry and her biological approach to dental care.
For out-of-pocket expenses, checks, cash, and credit cards are accepted. Additionally, financing is offered through CareCredit, which allows patients to enjoy no-interest financing and low minimum monthly payments that can make affording your dental care simple and attainable. Rescheduling Your Appointment
In case you need to reschedule your appointment please do so as early as possible, by calling and speaking with the front desk staff (voicemails, emails and text messages are not accepted as rescheduled appointments) AT LEAST 72 hours prior to your appointment, in order to avoid forfeiting your reservation deposit.
